How My Home Builder LLC handles your information, and the terms for using this website and our client and crew portals.

Privacy policy
My Home Builder LLC (“My Home Builder,” “we” or “us”) builds and coordinates residential and commercial projects in West Michigan. This policy explains what information we collect through myhomebuilderllc.com, our client portal and our crew portal, how we use it, and the choices you have.
Information we collect
- When you contact us. The project form on our home page does not send anything to us by itself. It opens a prepared email in your own email application, and we receive what you choose to send, such as your name, email address, project address and project details.
- Client portal. For clients with a project portal, we keep the project’s name and the email addresses its quotes, invoices and receipts go to; quotes, invoices and payment records; documents you or we share; and electronic signatures, which include the name you type, the signature you draw, the date and time, and the internet (IP) address it was signed from. Some project pages deliver the selections you submit to us by email through FormSubmit, and some project tools keep your drafts in your browser’s own storage on your device.
- Crew portal. For our employees and subcontractors: name, email, phone, address, trade and company; hours and invoices; lien waivers; and the paperwork needed to hire and pay you. That paperwork is Forms W-4, MI-W4, I-9 and W-9, which include your Social Security or taxpayer identification number, date of birth, and citizenship or work authorization details, and, if you choose, your direct deposit bank details.
- Payments. Online payments are made on Stripe’s secure checkout. Stripe collects your card or bank details; we receive the payment’s result, amount and date, the payer’s email address, and a short description such as the card brand and last four digits or the bank’s name. We never see or store full card or bank account numbers for client payments.
- Our own bank account. We link My Home Builder’s own business bank account to our portal through Stripe Financial Connections, or upload its statements, to keep our books. Stripe shares that account’s transactions with us: dates, amounts and descriptions, which can include the names of clients, crew members and vendors we pay or are paid by. We never ask for or see the bank sign-in; you sign in to the bank on Stripe’s page.
- Security and technical information. Our website host and our portal record technical information such as your IP address, browser and the pages requested, to deliver the site and protect it from abuse. The portal keeps a log of sign-ins and of actions taken in it, with the IP address, and counts requests from each IP address for a short time to stop repeated attempts.
Cookies
The public website does not use cookies for tracking or advertising, and we do not use analytics or advertising services. Each portal sets one sign-in cookie that keeps you signed in, for up to 12 hours (24 hours in the admin panel), and is only sent over secure connections. These cookies are necessary for the portals to work. Our website host, Cloudflare, may also set a strictly necessary security cookie that helps tell people from automated traffic.
How we use information
- To answer your questions and prepare estimates and proposals.
- To run the client portal: posting quotes and invoices, sharing documents, collecting signatures, and sending receipts and notices.
- To take and record payments, and keep our books.
- To hire, pay and report payments to our employees and subcontractors, verify employment eligibility, and meet tax, employment and construction lien law requirements.
- To keep our website and portals secure and prevent fraud.
- To meet our legal obligations and enforce our agreements.
We do not sell personal information, and we do not share it for advertising. Bank data we receive through Stripe Financial Connections is used only to keep our books: we never sell it, share it for marketing, or use it to decide anything about a person’s credit.
Who we share it with
Service providers that run parts of our business for us, only as needed for that work:
- Stripe, for payments and for linking our own business bank account through Financial Connections (Stripe’s privacy policy)
- Twilio SendGrid, which delivers the portal’s emails, with link and open tracking turned off (Twilio’s privacy notice)
- Cloudflare, which hosts and protects this website (Cloudflare’s privacy policy)
- Render, which hosts the portals and their database (Render’s privacy policy)
- FormSubmit, which delivers project selection forms by email (FormSubmit’s privacy policy)
We also share information when the law requires it, such as with tax authorities and Michigan’s New Hire Operations Center; with our accountants, attorneys and insurers, who keep it confidential; with others involved in your project when you ask us to or the work requires it, such as a lien waiver given to a property owner or lender; to protect people, property or our rights; and with a buyer if our business is sold.
How we protect it
Every page is served over an encrypted connection (TLS 1.2 or newer), and the portal’s database, including its backups, is encrypted when stored (AES-256). Portal passwords are stored only as salted hashes that cannot be read back, and the admin panel opens only with a one-time code emailed to the owner. Crew tax, immigration and bank details are also encrypted by the portal itself (AES-256), and only the people at My Home Builder who need information can see it. We follow a written information security program and review it at least once a year. No system is perfectly secure; if a breach affects your personal information, we will notify you as Michigan law requires.
How long we keep it
- Quotes, invoices, payments and project records: for the project, its warranty period and any legal claims, and as long as tax and accounting rules require, generally at least seven years.
- Crew paperwork: as long as employment and tax law require. For example, Forms I-9 are kept for three years after hire or one year after employment ends, whichever is later, and payroll tax records for at least four years.
- Transactions from our own bank account: with our books, generally at least seven years. Our record of linking the account through Stripe: at least 24 months after the link ends. Disconnecting the account stops new transactions but does not delete those already received.
- Sign-in and activity logs: as long as needed for security and for our books’ record of what happened.
- Emails you send us: as long as needed to answer them and keep the project’s history.
Your choices
You can ask us what personal information we hold about you, and ask us to correct or delete it. To ask Stripe to delete Financial Connections data it holds, email [email protected] with the subject “Financial Connections: Request for Account Deletion”, or ask us and we will pass it on. We will do so unless we have to keep it, for example for tax, employment or lien records or a project still underway. Email [email protected]; we will confirm it is you before we act, and asking will never affect how we treat you.
Children
Our website and portals are not meant for children under 13, and we do not knowingly collect their information.
Changes to this policy
When we change this policy, we post the new version here with a new effective date. If a change significantly affects how we use information in the portals, we will also email portal users.

This website
The website introduces our services and past work. It is general information, not professional advice or an offer to do work at a particular price. Photos and descriptions show projects we have worked on; every project is different. We may change the website at any time.
Estimates, quotes and contracts
Conversations, estimates and the content of this website are not a contract. Work, prices, schedules and warranties are set by the written contract we sign with you and its change orders, and that contract controls if it differs from these terms. A quote in the client portal is good until the date shown on it.
We are licensed and insured in the state of Michigan.
Portal accounts
A portal login is for the client, crew member or administrator it was given to. Keep it confidential, and tell us right away if you think someone else has used it. Do not upload unlawful or harmful files, or try to reach information that is not yours. We may suspend access to protect the portal, when a project is finished, or when work with us ends.
Electronic records and signatures
By using a portal, you agree to receive quotes, invoices, receipts, contracts, change orders, lien waivers, tax forms and other records electronically, and to sign them electronically. A signature you draw or type in a portal is your legal signature, as binding as one on paper, under the federal Electronic Signatures in Global and National Commerce Act and Michigan’s Uniform Electronic Transactions Act. Each signed copy is kept with the date, time and IP address of the signature.
You need a current web browser, an email address, and a way to open PDF files. Keep your email address up to date with us. You can ask us for a paper copy of any record, and you can withdraw your agreement to electronic records by emailing us; withdrawing does not affect anything already signed, and we will use paper from then on.
Payments
Online payments are processed by Stripe, by card or from a bank account (ACH). By paying, you authorize the charge or bank debit for the amount shown. A bank payment takes several business days to clear, and the invoice shows it as processing until then. If a payment is returned or reversed, the invoice is due again. Checks are payable to My Home Builder LLC and mailed to the address on the invoice. Payment terms, late charges and refunds follow your contract.
Crew portal
Hours and invoices sent through the crew portal are reviewed before they are approved, and approval is not payment; payment follows your employment or subcontract agreement. Lien waivers signed in the crew portal are Michigan’s statutory forms (MCL 570.1115); a conditional waiver takes effect only when the amount shown is paid. You are responsible for the accuracy of the tax and employment forms you complete.
Our content
The text, photos, logos, plans, drawings and renderings on this website and in the portals belong to My Home Builder LLC or those who license them to us. You may view and print them for your own use and your own project; any other use needs our written permission. Plans and documents shared for your project are for that project only, unless your contract says otherwise.
Other websites
Links to other websites, such as Stripe’s checkout or government forms, are provided for convenience. Those websites have their own terms and privacy policies, and we are not responsible for them.
Disclaimers and limits
The website and portals are provided as is and as available. To the fullest extent the law allows, My Home Builder LLC is not liable for indirect, incidental or consequential damages from using the website or portals, or for interruptions or loss of data beyond our reasonable control. This does not limit anything in your written contract with us, or any right that Michigan law does not allow to be limited.
Governing law
These terms are governed by the laws of the State of Michigan, and any dispute about them will be decided in the courts located in Michigan.
Changes to these terms
We may update these terms. The effective date at the top of this page shows when they last changed.
